LLC physical address vs mailing address — three jobs, one overloaded phrase

Search results mash “physical address,” “mailing address,” and “business address” into one checkbox. An LLC usually needs three different address concepts: a registered office street for personal service, IRS Form SS-4 mailing vs street lines, and a day-to-day mail path (home, PO box, or virtual mailbox). This note separates them and points to deeper pages for agent vs mailbox, PO boxes, EIN, and cost — it does not rewrite those desks.

Three address jobs people mash together

Registered office vs IRS street vs day-to-day mailing
JobWhat “address” meansPO box / virtual mailbox?
Registered office / RA streetIn-state street where process can be served in person on the registered agent during business hours. Public SOS record.Usually no as the sole office. Wyoming: no PO box, drop box, virtual address, mail forwarding, UPS, or FedEx. Texas §5.201: street for personal service; not solely a mailbox or telephone answering service. Colorado Q6: commercial or P.O. Box cannot be the RA physical street. PO-box note.
IRS SS-4 mailing (4a–4b)Where the IRS should send correspondence. Generally used on tax returns. File Form 8822-B if it changes later.PO box allowed. A scan mailbox can sit here if that is where you want IRS letters. LLC EIN note.
IRS SS-4 street (5a–5b)Entity’s physical address only if different from mailing. Instructions: don’t enter a P.O. box number here.No P.O. box on the street lines. A commercial RA office is for state service of process — not automatically your principal place of business on SS-4.
Day-to-day business / virtual mailboxInvoices, bank letters, packages, privacy. Private mail product — not the SOS registered-office field by itself.Yes as mail rent. Traveling Mailbox $15/mo / $25/mo / $55/mo; Anytime from $9.99/mo; Northwest forwarding from $20/mo; Bizee $29/mo (cannot be RA). Virtual address prices.

Why “physical address” is overloaded in search results

Autocomplete asks whether an LLC “needs a physical address.” Vendors answer with street-looking suite numbers. The statutes answer with personal service. Those are not the same sentence:

What the states and IRS publish (retrieved 1 October 2026 CT)

A practical stack (two line items, sometimes three)

  1. Registered agent at a qualifying street. Yourself where the state allows and you have a qualifying in-state street, or a commercial RA (Northwest $125/year; Bizee standalone $149/year; ZenBusiness standalone $99 then $199/year). Northwest publishes that it files the change and pays the required state fee when you appoint them. 3-year RA cost · Change of agent.
  2. IRS mailing / street on SS-4. Put a deliverable mailing path on 4a–4b (PO box fine). Use a real street on 5a–5b only when it differs — and never a P.O. box on those street lines.
  3. Optional mailbox for privacy and scans. Keep it as a second product. Do not pay mailbox rent thinking it replaced the agent — Bizee’s virtual address alone at $29/mo is $348/year, close to a year of Northwest RA.

Questions

Does an LLC need a physical address?

It needs a qualifying registered office — a street address where a registered agent can accept personal service of process in the formation state. That is usually not a USPS PO box, CMRA, or virtual mailbox alone (Wyoming SOS FAQ; Texas Bus. Orgs. Code §5.201; Colorado SOS FAQ Q6 — retrieved 1 October 2026 CT). Separately, IRS Form SS-4 asks for a mailing address (PO box OK on 4a–4b) and, if different, a street address with no P.O. box on 5a–5b. Day-to-day mail can still go to a virtual mailbox. Those are three jobs, not one clever label.

What is the difference between a physical address and a mailing address for an LLC?

“Physical address” in search results is overloaded. On the state side it usually means the registered office street for personal service — not a mail drop. On Form SS-4, “street” (5a–5b) is the entity’s physical location when different from mailing, and the IRS says don’t enter a P.O. box there; “mailing” (4a–4b) is where IRS correspondence goes and may be a PO box. A virtual mailbox street-looking label is still a mail product. Colorado’s SOS even splits the fields: commercial or P.O. Box cannot be the registered-agent street (Q6), but a separate mailing-address field may be a P.O. Box in Colorado (Q7).

Can my LLC mailing address be a PO box?

Often yes for mail that is not the registered office. IRS SS-4 lines 4a–4b accept a mailing address that can be a PO box. Colorado FAQ Q7 lets a registered agent’s separate mailing field be a commercial or P.O. Box in Colorado — that field is not the registered-agent street. The registered office itself still needs a street where process can be served (Wyoming, Texas §5.201, Colorado Q6).

Can I use the same address for registered agent, IRS, and mail?

Only if each job’s rules are honestly met. A commercial registered agent’s street office can be the state’s registered office. It is not automatically your SS-4 street unless that is where the business is located. A virtual mailbox can scan IRS letters on the mailing path without replacing the agent. Keep state, IRS, and bank records consistent — and budget RA and mailbox as separate line items.

Is a virtual mailbox a physical address for an LLC?

It is a mail / scan product with a street-looking label. It is not a substitute for a registered agent or registered office. Traveling Mailbox’s help center (7 August 2026) says a virtual mailbox cannot serve as an RA address. Bizee states its $29/mo virtual address cannot be the registered agent. Wyoming groups virtual addresses and mail-forwarding locations with PO boxes. See our virtual-address and PO-box notes.

How much does a real registered agent cost if I also want a mailbox?

Northwest publishes $125/year ($375 over three years of vendor RA-only fees). Bizee standalone RA is $149/year ($447 / 3yr). ZenBusiness standalone is $99 year 1 then $199 ($497 / 3yr). Mailbox products are separate — Traveling Mailbox $15/mo / $25/mo / $55/mo; Bizee virtual address $29/mo. Those are vendor fees from our briefing, not state filing fees.
